Position Summary
Provides professional administrative support for office executives. Screens calls and emails, routing callers and correspondence to the appropriate recipients for response. Coordinates meetings and meeting set up including events outside of the office and travel. Enhances executive’s effectiveness by greeting visitors and providing the visitors support while effectively representing the company on the behalf of the executives. Provides additional support to maximize office efficiencies.
Job responsibilities include:
• Coordinate and arrange meetings and events including but not limited to identifying and scheduling facilities, arranging travel, preparing meeting rooms, arranging for food and other equipment required
• Negotiate and approve vendors for catering and meetings
• Manage main conference room scheduling
• Greet guests and vendors in person or on the telephone
• Contribute to and support team events and projects
Skills needed:
• General office administration
• Travel administration
• Customer Service
• Event set up and planning
• MS Office applications and related tools
• Excellent written and oral communication
• Effective use of MS Office applications and tools especially Word/Excel/PowerPoint
• Management of priorities (discern urgency) and deadlines in fast paced environment
• Problem solving; resourceful
• Able to build relationships with staff, executives, internal and external contacts, guests, etc.
• Attention to detail and accuracy
Experience/Education Required:
•3 years’ experience providing support to C-Suite level executives
•Bachelor's degree preferred but not required
